Event Space Rental Agreement

1. Parties and Event Information

The agreement is between 18th Amendment Event Venue and the identified client. The completed agreement records the client, event type, date, rental hours, total fee, and selected services or additional charges.

2. Rental Rates and Included Access

Standard rates are Monday–Wednesday $150 per hour, Thursday $200 per hour, and Friday–Sunday $250 per hour, with a three-hour paid rental minimum. The booking includes up to two hours before the event for setup and up to one hour afterward for breakdown unless the written booking summary states otherwise.

3. Additional Setup Time

Additional setup time may be reserved for $75 per hour, subject to venue and staffing availability and prior written approval. It is exclusively for decorating, vendor load-in, equipment setup, staging, floral installation, and audiovisual preparation. Guests may not enter, and food, beverages, alcohol, music, entertainment, ceremonies, speeches, presentations, or guest photography may not begin during setup time.

4. Booking, Deposit, and Payment

A signed agreement and a nonrefundable deposit equal to 25% of the total rental fee are required to reserve the event date. The remaining balance is due no later than 14 calendar days before the event. Events booked within 14 days require full payment when the agreement is signed.

5. Cancellation and Date Changes

The 25% booking deposit is nonrefundable. Cancellations and date-change requests must be made in writing. Cancellation fewer than 30 days before the event leaves the full rental fee due. One replacement date may be approved in writing, subject to availability and any price difference.

6. Client Responsibility and Conduct

The client is responsible for guests, vendors, contractors, safety, legal compliance, and venue instructions. Illegal activity, disorderly conduct, threats, violence, weapons, and controlled substances are prohibited. The venue may end an event when conduct creates a safety risk, violates the law, damages property, or materially violates the agreement.

7. Smoking, Vaping, and Alcohol

Smoking and vaping are prohibited inside. Alcohol requires prior written approval and compliance with New Jersey law and all licensing and permit requirements. Alcohol may not be sold without all required authority, and service to minors or visibly intoxicated guests is prohibited.

8. Vendors, Decorations, and Insurance

All outside vendors must be identified before the event and may be required to provide insurance, licenses, or permits. Nails, screws, staples, permanent adhesives, glitter, confetti, smoke devices, open flames, and alterations require prior written approval. Exits and emergency equipment must remain clear.

9. Cleaning, Damage, and Overtime

The client must leave the venue in substantially the same condition as received and is responsible for damage, missing property, excessive cleaning, unauthorized disposal, and overtime. All guests, vendors, decorations, equipment, food, beverages, and personal property must be removed by the end of the approved breakdown period.

10. Parking, Deliveries, and Building Access

The client and vendors must follow all posted parking, loading, delivery, and access instructions. Fire lanes, driveways, neighboring property, sidewalks, and entrances may not be blocked.

11. Risk, Unforeseen Events, and General Terms

The client assumes responsibility for risks arising from the event and agrees to the agreement’s indemnification terms. For circumstances beyond a party’s reasonable control, the parties will first attempt to reschedule. New Jersey law governs the agreement, and electronic signatures may be used.
